ExpressJet Airlines, Inc Admin Assistant in RICHMOND, Virginia


Reporting to the Base Manager, the Admin Assistant handles administrative functions for the Maintenance Department. Responsibilities include, but are not limited to:


  • Handle all administrative functions for the Maintenance department.

  • Update payroll system to ensure accuracy in the following:

  • time off

  • approving work records

  • shift calendars

  • Submit qualified payroll discrepancies to payroll.

  • Track and send OT/Attrition/Current Head Count reports weekly as required by Management.

  • Track and send memos to office personnel regarding remaining time off.

  • Update maintenance work schedules and shift bid calendars for Manager, Supervisors and mechanics, post.

  • Assist Manager in maintaining an accurate head count.

  • Track sick occurrences; send attendance letters to designated Supervisors for Disciplinary action.

  • Assist/Submit Expense Reports as required for Management.

  • Make travel arrangements and send information to employees.

  • Submit all OJT/paperwork to Training – maintain a spreadsheet to track as required.

  • Order office supplies – call for service on office machines when required- submit invoices and track.

  • Coordinate all Base Promotional awards/activities for maintenance employees/management.

  • Submit/Track escort/badging forms to Airport Security and track via a spreadsheet.

  • Schedule SIDA driving classes for new employees and or renewals.

  • Order uniforms/changes for all Base employees.

  • Update MCO/Road List as required.

  • Maintain acknowledgement List of Base Policies - GMM etc.

  • Maintain Base Seniority List and post.

  • Track and submit status updates to Training for former/transferred employees.

  • Planning duties as required by Base Management.

  • Other Duties as assigned by management.


  • Must be a High School Graduate or GED.

  • Possess a valid driver’s license.

  • Familiar with Windows - Microsoft Office – Outlook and Excel.

  • Computer Literacy a must.

  • Team Player – Self-motivated.

  • Excellent communication skills.

  • Ability to handle sensitive matters and maintain confidentiality.

  • Ability to prioritize and multi-task in fast paced work environment.

  • Must be detailed and organized.


  • One year administrative experience.

  • Human Resource and payroll experience.
