Collection management and conservationAssist the Director and the Assistant Director for Collections with long-range planning and budgeting for the care, maintenance, and conservation of the collection.Monitor works, identify needs and coordinate treatments in collaboration with contracted conservators, artists, lenders, Landmarks technology manager, and campus service providers.Maintain ongoing relationship with the Metropolitan Museum of Art, which includes routine communications, site visit coordination, and loan renewal oversight.Maintain relationships and routine communications with campus delegates who monitor works in the collection.Oversee all conservation efforts as needed.Maintain the 20-year routine maintenance budget projection.Assist in the development of new projects by working with conservators to determine feasibility of materials and to project long-term care needs.Manage maintenance of new media art, in consultation with tech-specific vendors and Landmarks technology manager.Maintain database of treatments and condition reports; maintain records and documentation for each work in the collection and digital archive.Manage Landmarks Preservation Guild (volunteer program) including recruiting, training, programming and performance tracking.Plan and execute emergency response for works as needed (i.e., graffiti, vandalism, weather events, etc.).Track and manage loan agreements and communication with lenders.Public art project managementCoordinate and liaise with all involved parties (artists, galleries, architects, landscape architects, contractors, vendors, etc.) to execute new public art projects.Coordinate campus departments on capital improvement projects involving Landmarks, including the Office of Planning, Design and Construction (PDC), Technical Review Teams, and others as required.Schedule and maintain agendas for quarterly PDC construction meetings.Initiate campaigns to promote awareness of Landmarks procedures among campus project managersAssist the Director as liaison to the Committee for the Review of ArtIn the development of new projects, assist the Director with creating proposals and securing approvals from all necessary campus stakeholdersManage contracts, agreements, and insurance with artists, galleries, art handlers, conservators, and other contractors in coordination with the collections managerManage project budgets and provide projections that support project teams and development initiativesOversee the maintenance of a collection archive, including all documentation and project related materialsManage development, fabrication, installation, and replacement of art signageBookkeeping/budget managementBudget development and reporting for all project accountsTrack and forward invoices for paymentReconcile accounts and budgets at the end of a projectCoordinate with Landmarks Deputy Director and Business Coordinator to ensure only approved payments are charged to the proper project accountsCommittee coordination Coordinate with the Landmarks Advisory CommitteePlan and attend regular meetingsTake notes and submit meeting minutes in a timely manner after every meetingOther Attend Landmark VIP events and tours as requested.Additional duties upon request.
